Membership Policies
Tardiness
We ask that all members arrive at the gym prior to their class start time to avoid interruptions in class flow and ensure you get a safe and complete warm-up . Members attending class have a 10 minute grace period before they will not be allowed entry into class. They can instead attend Open Gym, assuming it’s available at that time.
Coming Early/Staying Late
Members who attend group class may show up early OR stay late no more than 15 minutes prior to or after their class. Appropriate usage of this time might be to stretch out, cool down on a machine, perform some rehab/prehab or work a non-barbell based skill/exercise. Anything more than 15 minutes requires that you to RSVP and check in for an Open Gym session via the Zen Planner members app. Available space is at the discretion of front desk and coaching staff.
RSVPing & Checking In
All members must RSVP on the Zen Planner member app and physically check in at the front desk prior to their training. This is particularly important for Open Gym members training in 608.
RSVP Instructions
To log in to your Zen Planner (ZP) account please download the member app.
- To add a payment method, click on View Profile/Payment Methods
- To register for a class, you will go to Calendar and click into the class you want to reserve. If you have a membership that can be applied towards this class, the “Reserve” button will appear on the right side of the page. Clicking this button will add you into the class with your membership.
- If you do not have a membership that is eligible for this class, please reach out and we’ll help troubleshoot.
- If you want to see the classes you are registered for, you can view this on the calendar or under the “Reserved” tab. Classes you are reserved for will display with a star on the class in the calendar. You can go to the “Reserved” tab to see them all displayed in a list view.
- Members will be allowed to register for classes up to 7 days in advance. We ask that you please cancel your spot in class as soon as you know you can’t make it, to give the waitlisted people a chance to attend.
- Log into the Zenplanner app and click “Yes, Confirm My Spot” or “No, I Won’t Attend”
- If the pop-up is not showing you either option to click on, this typically means you have maxed out your RSVPs for the week and you will need to cancel an RSVP to accept the new RSVP
- Known Issue: Some folks are reporting that the pop-up to confirm their reservation is not appearing when they open the app. If you receive the text and there’s no pop-up, fully close & restart the app.
- Note: You will temporarily appear as “Reserved” in the class during the 1-hour window. If you did not complete the steps above, you are not reserved yet.
- If you get into a class and are on the waitlist for another class, please remove yourself from the waitlist to give the next person a chance to get in.
RSVP/Cancellation Policies for Group Classes (MARCH 2024 UPDATE)
At CFSBK, ensuring all members have access to our classes is a top priority. However, with many of our classes reaching capacity, late cancellations and no-shows consistently obstruct others from participating. To address this issue, we’re implementing updates to our cancellation policies. These changes are intended to foster accountability and consideration within our community, while also promoting more equitable access to classes for all members.
Effective March 29th, 2024, members who fail to attend or cancel an RSVP’d class before the cancellation deadline will automatically incur a $15 fee and forfeit their class. This includes members who arrive after our 10 minute grace period at the start of class.
Cancellation Deadlines
6am-9am classes: 10 hours before class start time
10am- 7:30pm classes: 5 hours before class start time
Emergency Credit
Once per quarter, the gym will allow for one emergency credit per member which will allow them to receive a $15 credit on their next bill and recoup their class. To use this credit, members must contact charlie@crossfitsouthbrooklyn.com within one week of their missed class. A reason will not be required. Credits do not roll over quarterly.
Transferring To A Different Class On The Same Day
- Step 1: Cancel your class in the app.
- Step 2: Contact the Front Desk. We will waive the penalty on request in the following circumstances
-If you late cancel a class because you move off of the waitlist into a preferred class (same day)
-If you late cancel a class that isn’t full in order to switch to another class (same day)
Rolling Reservations for Legacy Members
We are also offering a limited number of rolling class reservations to our members who have been with us for 5 or more years. This means these members will be able to have their registration pre-booked into a few classes automatically. We’re doing this as a thank you for their extended loyalty to CFSBK. The same cancellation policy applies to these classes as well. The availability of these is limited per class to maintain accessibility of class enrollment to all members.
Upgrade/Downgrades
- Membership upgrades can occur at any time in your billing cycle. The remaining balance of your current membership’s payment will be automatically applied to the new upgraded membership.
- Membership downgrades will be effective as of the member’s next billing cycle. Downgrade requests should be made at least 3 days in advance so that we have time to make the necessary changes before your next bill. We cannot provide refunds retroactively for time prior to notification.
- Any membership change will result in the loss of all upcoming reservations, so 7 day’s notice is recommended.
- To initiate an upgrade or downgrade, you can speak to the Front Desk or contact us
Account Holds
- CFSBK will honor membership holds/suspensions of one week or more, provided that staff is notified at least 3 days in advance.
- Periods of suspension will extend the member’s current billing cycle by the total number of days absent, resulting in no financial loss for planned time away.
- Memberships can be placed on hold for up to 3 months. The membership will automatically be reinstated after that unless the member contacts us within 3 days of the next billing cycle.
- If the member has reservations within the hold period before the hold is put in place, these reservations need to be removed manually. These can be removed by the Front Desk or by the member.
Refunds/Membership Cancellations
- Membership cancellations can occur at any time and for any reason without additional fees. We do request that you provide a reason for cancellation for our tracking purposes.
- While cancellations can occur at any time, members looking to cancel prior to their upcoming bill must notify CFSBK at least 3 days prior the bill due date.
- CFSBK will not provide refunds for any late cancellation requests or for any unused classes/sessions.
- Deleting your payment information from Zen Planner does not cancel your membership. Membership cancellations are only processed by contacting us.
Discounts/Age Requirements/Shared Membership
- Our week runs from Monday to Sunday. Recurring memberships reset on Monday of each week.
- Recurring memberships and punch cards cannot be shared or transferred among members.
- You must be at least 18 years old to participate in CFSBK’s classes or Open Gym.
- 12% discounts are available to the following populations: Full time Teachers, Students, FDNY, EMT, DOS, Social Workers, Armed Services. We also have a Scholarship Program for individuals who cannot afford our rates. Eligibility for all discounts will be reviewed on a semi-annual basis.
Open Gym Guidelines/Early Access via Hybrid AF App
- Everyone must pre-register for their session on Zen Planner and sign in at the Front Desk before working out. Please DO NOT just walk into 608 and start working out without checking in.
- Please be mindful of your space usage and limit your footprint to one rack/station.
- Please keep your bags and belongings on the shelves by the bathrooms, not on the gym floor or in the shower rooms.
- The wall timers are for staff use only- we have stopwatches by the stairs which you can use or you can use your phone/own timer.
- For anyone who is attending a group class, you may take some time to stretch out, or prep/cool down before or after class for up to 15 minutes. If you want to stay for anything more than that, then you will need to reserve a spot and check in at the Front Desk.
- Starting Strength and Iron Works have certain racks reserved at certain times- these times are posted by the racks.
- Please put away all equipment used and clean up your station before you leave! As David says, “This is not a frat house!!!” Here is a helpful visual about how the front of 608 should be maintained.

Additional Guidelines for Early Open Gym Access via Hybrid AF App
Members now have access to Open Gym through the right hand door at 608, via the Hybrid AF app. Please email cfsbkfrontdesk@gmail.com to get an invite to download the app. This will be available on request only. Access will be from 5am on weekdays and from 6am on the weekend.
- Please always reserve your spot in Open Gym. Front Desk will come by to check you in once they arrive.
- If you are not coming during off – hours, please check in at the Front Desk before working out.
- Please turn on all of the lights, the Big Ass fan (green button) and heat if needed. Do not adjust the thermostat; just switch to ‘heat’. In the summer, please open the roll-up gates for air circulation. Please close these gates if you are the last one to leave. Scissor gates MUST BE locked and secured before closing the roll-up gates.
- The iPad passcode is 0608.
- We cannot share the wifi password as the door may not work and the cameras may crash if members are using the wifi – sorry!
Dogs, Kids & Bikes
CFSBK prides itself on being a kid and dog-friendly gym. But in the interest of keeping everyone as safe and focused on their fitness as possible, we’ve updated our policies regarding our favorite tiny humans and creatures. If you have a child or dog, please review these policies.
CFSBK Kids Policy:
- While children are allowed at the gym, we ask that parents only bring them when absolutely necessary. If you don’t need to bring your kids, please leave them at home.
- Children must be at least 5 years old to accompany their parent to the gym. Babies confined to strollers during personal training or open gym sessions will be evaluated on a case by case basis.
- Kids are not allowed on the gym floor or to play with any gym equipment. Please bring something for them to occupy themselves with during your visit.
- Kids in 597 need to be able to sit in the lounge area unattended, which means they are not a distraction or danger to themselves or others.
- Kids in 608 must stay in the station occupied by their guardian and may not run around, play with equipment or disturb other gym members.
- Kids should not be in the way of group class.
- The Front Desk staff is not responsible for your children.
- No kids are allowed behind the front desk.
- We reserve the right to ask you to attend to your child or potentially take them home should they not be following any of the policies listed above.
CFSBK Dogs Policy:
- Dogs that bark, whine, jump, or bite are not allowed at the gym.
- Dogs must be on leash at all times. Dogs in 597 should be kept by the couch or the bottom of the stairs. Dogs in 608 should remain in the station occupied by their human and not interfere with other members.
- The Front Desk staff is not responsible for your dog.
- Members’ dogs are not allowed behind the front desk or on the gym floor.
- We reserve the right to ask you to remove a disruptive dog, even in the middle of your class or workout.
Bikes Policy:
- Members’ bikes are NOT allowed inside the gym under any circumstances. Even if your bike is too expensive to lock up outside.
- If you forgot your bike lock the front desk has one loaner lock you can use during class.
- Scooters and Skateboards are allowed and should be placed near the shelves/coat racks we provide members
